Cancellation & Booking Transfer Policy

This policy applies to all bookings, including those made under a payment plan.

Running a boutique retreat experience involves significant advance commitments to venues, facilitators, accommodation, catering, travel logistics, and curated experiences. To protect the quality, intimacy, and sustainability of our retreats, all bookings are subject to the following cancellation and booking transfer conditions.

This policy forms part of, and must be read in conjunction with, the Reignite Retreats Events Terms & Conditions and the Participant Agreement & Release of Liability.


1. Refund Policy

To ensure the quality and intimacy of our retreats, we make substantial non-refundable commitments to our venues, facilitators, and partners well in advance.

Accordingly, all retreat payments and deposits are final and non-refundable, to the extent permitted by applicable consumer protection legislation.

No refunds will be issued for cancellations, non-attendance, changes of mind, illness, injury, personal circumstances, travel disruptions, or failure to attend, except where a refund is required by a non-excludable guarantee under the Australian Consumer Law.


2. Travel Insurance

We view travel insurance as an essential safety net that empowers guests to book with confidence while protecting them against unforeseen circumstances.

International Retreat Guests

Travel insurance is mandatory for all guests travelling internationally to attend a Reignite retreat. Your policy must include cover for trip cancellation, medical care, emergency evacuation, and all retreat activities.

To ensure you are fully protected against the unexpected, proof of insurance may be requested prior to departure. Reignite reserves the right to decline attendance, with no refund, transfer, or rebooking, if proof of insurance is not provided.

Australian Retreat Guests

Travel insurance is not mandatory for Australian residents attending retreats held within Australia. However, because Reignite does not offer refunds and limits booking changes, trip cancellation insurance is strongly recommended to protect your booking.

Guests who choose to attend without travel insurance do so entirely at their own risk.


3. Booking Transfers

For the purposes of this policy, written notice must be provided via email to info@reigniteretreats.com.

Retreats Based in Australia

Where notice requirements are met, Reignite may, at its sole discretion, offer a one-time opportunity to move your booking to a new Australian retreat date, subject to availability and the conditions below.

To maintain the scheduled flow of our curated retreats, we focus on direct date transfers rather than holding open credits.

Reignite does not issue booking credits.

3.1 More Than 6 Weeks’ Written Notice (42+ Days)

If written notice is provided at least 42 days prior to the retreat start date, you may request a one-time transfer to a new Australian retreat date, free of charge, subject to availability.

The new retreat date must commence within 12 months of the original retreat start date.

If the new retreat date is priced higher, the guest will be responsible for paying the price difference. No refunds will be issued if the new retreat date is priced lower. Any remaining balance is non-refundable and cannot be issued as credit.

3.2 42–30 Days’ Written Notice

If written notice is provided between 42 and 30 days prior to the retreat start date, you may request a one-time transfer to a new Australian retreat date, subject to availability.

A AU$100 transfer fee applies, reflecting the administrative, venue, and staffing commitments already in place.

The new retreat date must commence within 12 months of the original retreat start date.

If the new retreat date is priced higher, the guest will be responsible for paying the price difference. No refunds will be issued if the new retreat date is priced lower. Any remaining balance is non-refundable and cannot be issued as credit.

3.3 Less Than 30 Days’ Notice

Due to the difficulty of re-filling retreat places at short notice, no transfers, rebookings, or booking changes are permitted within 30 days of the retreat start date.

Guests are expected to rely on their travel insurance if they are unable to attend.

3.4 No Booking Credits

Reignite Retreats does not issue booking credits.

Where permitted under this policy, a guest may be offered a one-time opportunity to move their booking to a new retreat date. If a new eligible retreat date is not confirmed within the permitted timeframe, the booking may be forfeited.

For avoidance of doubt, this clause does not apply to Force Majeure, which is governed exclusively by the Events Terms & Conditions.

3.5 Name Change (Third-Party Transfer – Australia)

A booking may be transferred to another individual (name change only), subject to approval.

An Administrative Re-onboarding Fee applies to cover the manual work involved in onboarding a new participant, including health documentation, dietary requirements, rooming lists, guest communications, and retreat preparation.

  • Requests must be submitted no later than 14 days prior to the retreat start date
  • Name changes within 14 days are not permitted
  • An AU$100 Administrative Re-onboarding Fee applies

A Booking Transfer Form must be completed and signed by both the original guest and the new guest. Reignite will review the request and respond within 5 business days.

3.6 Booking Change Limitation (Australia)

Each booking is eligible for one change only, being either:

  • A transfer to a new retreat date, or
  • A name change to another participant

Once a change has been applied, no further changes, transfers, or rebookings are permitted. Guests are encouraged to rely on travel insurance as their primary safety net.


4. Retreats Based Outside Australia

Due to the fixed and non-recoverable nature of international retreat costs, international retreat bookings are final.

Transfers to alternative retreat dates are not permitted for international retreats.

4.1 Name Change Only (International Retreats)

A booking may be transferred to another individual (name change only), subject to approval.

A Booking Transfer Form must be completed and signed by both the original guest and the new guest. Reignite will review the request and respond within 5 business days.

  • Requests must be submitted no later than 30 days prior to the retreat start date
  • Name changes within 30 days are not permitted
  • An AU$100 Administrative Re-onboarding Fee applies

4.2 Booking Change Limitation (International Retreats)

Each international booking is eligible for one name change only.

No date transfers, rebookings, or additional changes are permitted.


5. Force Majeure

Where a retreat cannot proceed due to a Force Majeure Event, the Participant remedy (including any deferred booking value, time limits and conditions) is governed exclusively by the Force Majeure provisions set out in the Reignite Retreats Events Terms & Conditions in force at the time of booking.

For avoidance of doubt, Reignite does not offer cash refunds for Force Majeure events, except where required by a non-excludable guarantee under the Australian Consumer Law.

By completing a booking, you acknowledge that you have read, understood, and agreed to this Cancellation & Booking Transfer Policy, and that you have been advised to obtain appropriate travel insurance to protect your booking.
